Most email agencies run on a patchwork: a calendar per client in a spreadsheet, approvals by email thread, screenshots in decks, and a monthly report built by hand. It works until the fifth client, then everything takes twice as long.
Check everything together, without touching your clients' customers
Checking and approving an email doesn't need anyone's subscriber list. Emails come into Mailfois as a preview link or HTML, so you and your client cross-check the same thing in one place, and your agency never has to hold their customers' details.
- No email platform log-in needed to check the work: set a client up as client-led and their team builds in their own email platform, then sends each email to you for sign-off in Mailfois. You review, pin changes and approve without an account on their platform.
- No customer lists, ever: Mailfois never connects to an email platform, never holds a subscriber list and never emails anyone's customers. Results come in as totals, and any customer replies you add are stripped of email addresses, phone numbers and other details before they're saved.
- One record both sides can see: the plan, the brief, every version, the brand and link checks, comments pinned to the email and the approval itself.
Trust, in writing
- A letter for each client: one page, read from their workspace, showing who at your agency can open it, how sign-off works, the sign-in rules and what Mailfois never holds. Print it or send it as a PDF.
- You decide who sees what: choose which of your staff can open each client, require two-factor sign-in, and choose per client whether their work can appear in your own portfolio showcases.
- A record that stands up: every approval and change request, with who, when and which version, in a printable approval record.
- Stored in the UK, under a DPA: workspaces are kept in London, and our data processing agreement lists every company that helps run Mailfois. More on security.
A workspace per client
- Everything separate: each client has its own campaign planner, brand kit and checks, sign-off rules, library, copy bank and results.
- Set up your way: agency-led (you build, the client approves), client-led (their team builds and sends to you for sign-off) or shared.
- Quick to start: a new client copies your agency's settings and build checklist, with a guided set-up for their details, approvers and brand.
One view of every client
"All clients" shows every client's calendar, workload, builds and sign-offs together, colour-coded by client, with one notification bell. Print a client's month as a calendar with your agency's name on it.
Client sign-off without the chasing
Clients approve from a private link with no account. Use two-stage sign-off so your team approves each round first, set included rounds and reply-by dates, and let Mailfois send the reminders. Every approval is recorded.
Show the work, report the results
Import results from any email platform, then share a live, password-protected client hub with their results, approved emails and showcases. A printable client report and an approval record are one click each.
If a client leaves
Hand a client's workspace over to them as their own account, or offboard them cleanly with their data exported.

Questions
Do clients need to pay for seats?
No. Client approvers are free and unlimited. Each client also includes 3 logins for their own team; more can be added on your bill.
Can each client have a different email platform?
Yes. Mailfois works alongside any ESP: emails come in by preview link or HTML, so each client can use whatever they use.
Can clients see each other?
No. Each client only ever sees their own workspace. Only your agency team sees the "all clients" view.
What happens if a client leaves?
You can hand their workspace over to them as their own account, or export their data and close it.
Does my agency need access to our clients' email platforms?
Not to check and approve. Emails come into Mailfois as a preview link or HTML, so a client-led client builds in their own platform and sends each email to you for sign-off. If you build a client's emails yourself, you'll still use their platform for that, but checking and approval happen in Mailfois.
Does Mailfois see our clients' subscribers or customer data?
No. Mailfois never connects to an email platform, never holds subscriber lists and never emails anyone's customers. It holds the plan, the emails being approved, comments and approvals, brand kits, results as totals, and the names and work email addresses of the people who use it.
How do we show a client their data is safe?
Each client workspace has a one-page letter, read from the workspace, setting out who at your agency can open it, how sign-off works and what Mailfois never holds. Our data processing agreement covers the rest.
