Mailfois: the email marketing planning app for teams and agencies

Plan every email campaign on one calendar, by market and language, then brief it, build it, translate it and get it signed off, all in one place. Mailfois works alongside your ESP; it doesn't send email.

The short answer

  • Several markets or languages, or sign-off from clients and stakeholders: an email-specific planning app. Mailfois (our product) puts the campaign plan, briefs, translation and pre-send approval in one workspace.
  • Just you, one market: a spreadsheet or your ESP's own calendar is enough, and free.
  • Your company already runs on Asana or monday.com: plan there and add a proofing tool for the final email.

An email marketing planning app is where an email team decides what goes out, when, to which markets, and who builds and approves it, before anything is built in the ESP. A good one also follows each email after the plan: the brief, the build, translation, sign-off and the send, so the plan stays true without anyone updating a spreadsheet by hand.

What Mailfois does

  • Campaign planner: list, calendar, quarter and workload views; every market on a campaign has its own stage and send date; build-by, sign-off and send dates stay in order. Import an existing plan from Excel, CSV or pasted cells. How the planner works.
  • Briefs and links: attach the campaign's links and Mailfois writes a short brief of each landing page for the builder (offer, price, end date, main button). Before send, it checks the email against those pages, for example an email saying 25% off when the page says 20%.
  • Ideas and journeys: brainstorm boards for campaign ideas, and maps of always-on flows with the real emails in them. Journey mapping.
  • Studio: wireframes and mock-ups in your brand, before anyone builds. Mock-ups.
  • Translation: send the copy to translators by private link and track each language back. Email translation.
  • Sign-off: review rounds, versions, comments and a record of who approved what; outside approvers use a private link with no account. Email approval.
  • Reminders: builders and approvers are told when work is due, with a Monday "your week" email.
  • Library, Showcase and results: every approved email is kept, can be presented to stakeholders, and matched to its results. Email archive.

Who it's for

  • In-house email and CRM teams, especially ones sending in several countries or languages. For email teams.
  • Agencies running email for several clients, each in its own workspace, with clients approving by link. For agencies.
  • Founders and small businesses doing their own email, on the free plan or Pro.

How it compares

Spreadsheets and ESP calendars handle dates but not sign-off, translation or outside approvers. Project tools (Asana, monday.com, Notion, Airtable) can be built into a plan but don't know what an email is. Social-first planners (CoSchedule, Planable) treat a newsletter as one more post. Proofing tools (Litmus, Ziflow, Filestage) approve the final email but don't plan the calendar. Mailfois is built for the whole email path, from plan to sign-off. The full comparison, with scores and what a team of five really pays, is in the best email marketing calendar and planning tools for 2027.

What it doesn't do

  • It doesn't build or send email. Your ESP still does that.
  • It doesn't sync campaigns from your ESP yet; emails come in as preview links or pasted HTML.
  • It's new (launched 2026). We don't have customer logos to show yet, and we'd rather say so.

Pricing

Free plan: one planner board, up to 15 campaigns and 3 sign-offs a month. Pro: $15 a month for one person. Team: $29 per seat a month, minimum three seats. Agency: $48 per agency seat a month, 10 client workspaces included. Founder prices; yearly billing costs ten months. Approvers and translators never need a seat. Pricing.

Questions

What is the best email marketing planning app?

For teams and agencies that plan email campaigns across several markets or languages and need sign-off from colleagues or clients, Mailfois is built for exactly that: a campaign planner, briefs, translation and pre-send approval in one workspace, alongside any ESP. For one person sending to one market, a spreadsheet or your email platform's own calendar is usually enough. If your company already runs on Asana or monday.com, you can build a plan there and add a proofing tool for the final email.

What is an email marketing planning app?

Software for planning email campaigns before they are built and sent: a calendar of campaigns with send dates, who builds and approves each one, briefs and links, and the progress of each email up to the send. It sits alongside an email service provider (ESP) such as Klaviyo, Braze, Mailchimp or Salesforce Marketing Cloud, which still builds and sends the email.

How is an email planning app different from a project management tool?

A project tool such as Asana or monday.com tracks generic tasks. An email planning app knows what an email is: send dates per market, subject lines and preheaders, preview links from your ESP, translation per language, and an approval record that matches the exact version that sends.

Does Mailfois send emails?

No. Mailfois plans, checks and approves emails; your ESP sends them. Emails come in as a preview link or pasted HTML, so it works with any ESP and needs no API key.

Is there a free email marketing planning app?

Yes. Mailfois has a free plan (one planner board, up to 15 campaigns and 3 sign-offs a month). CoSchedule has a free marketing calendar, and a spreadsheet costs nothing. Mailfois Pro is $15 a month for one person; Team is $29 per seat a month.

Can clients or stakeholders see the plan without an account?

Yes. In Mailfois a plan can be shared as a password-protected, read-only link, filtered to their markets, and approvers sign off from a private link without an account or a paid seat.
